The Alliance for Climate Education is seeking a dynamic, energetic office manager in Oakland, CA (San Francisco Bay Area). This early-stage nonprofit is developing a national program to help educate elementary, middle and high-school students on the science of how carbon and other greenhouse gas emissions are creating climate changes and practical ways in which the students can help reduce the impact on the environment. We are seeking an office manager to set up and manage the growing office, and handle general logistics, operations, and administrative tasks.

The Office Manager is responsible for keeping the organization running smoothly by overseeing all office systems, bookkeeping , database management and working in close collaboration with other staff in realizing the Alliance for Climate Education’s goals and priorities. The Office Manager will also provide administrative and executive support to the Executive Director and staff.

Job Responsibilities:

  • Initially setting up the Alliance for Climate Education’s offices

  • General Office Management, including maintaining databases

  • Bookkeeping

  • Executive Assistant to Executive Director, and administrative assistant to staff, including scheduling meetings and travel

  • Scheduling assemblies/meetings and providing logistics for staff

  • Donation Processing and Donor Database Management

  • Support fundraising activities, including assembling grant proposals, coordinating donor correspondence, and sending donor acknowledgements

  • Vendor management (cellular vendor, travel vendors, etc.)

  • Managing communications with donors and other key constituents

Required Qualifications:

  • Strong proficiency with Microsoft Office

  • Excellent oral and written communication skills

  • Excellent organizational skills and ability to work independently

  • Ability to prioritize tasks and meet deadlines

  • Good time management, multi-tasking, detail oriented, self-motivated

  • Comfortable working in a small collaborative team environment

  • Takes pleasure in enabling and supporting others to be effective in their work

  • Ability to make at least a two-year commitment to the position

  • Strong judgment and discretion in dealing with confidential and sensitive information

Desired:

  • Previous office administration experience, including bookkeeping

  • Understanding of global climate change and passion about making a difference

Schedule: 40 hours per week
