About
Sustainable Ballard, “A Blueprint for EveryTown USA,” builds community and takes action on a neighborhood level in response to climate change, peak oil, and other sustainability challenges. Each fall we host the Sustainable Ballard Festival, our biggest and most visible event. The festival is the culmination of all our work during the year, showcasing the projects and initiatives we have undertaken and engaging the community to reduce their impact on the environment. The festival also serves as Sustainable Ballard’s primary fundraiser for all its activities throughout the year.
We are looking for a self-motivated, highly organized person who supports community building at the grass-roots level to provide administrative support for the 5th Annual Sustainable Ballard Festival .
Description:
Sponsor/Exhibitor Coordinator
Work with Festival Coordinator to track sponsor and exhibitor deliverables.
Understand and communicate sponsorship/exhibitor rights with over 100 sponsors & exhibitors
Coordinate with sponsors to get logos, listing information, signed forms, etc.
Maintain database of sponsor/exhibitor contact information
Prepare invoices, track payment status, and coordinate with Sustainable Ballard bookkeeper
Manage exhibitors: handle booth layout and space assignments, rental needs, and exhibitor communication before and during the event
Follow through with thank yous to sponsors & exhibitors
Prepare follow up report reviewing event successes and challenges
This position does not require solicitation of sponsors.
Qualifications:
The ideal candidate will have at least two years of information management experience; good working experience with collecting and manipulating graphics; festival or other event experience; work or volunteer experience with a community organization; and an understanding of budget processes and non-profit culture.
Minimum requirements are:
Good speaking and writing skills;
An eye for detail and strong organizational and information management skills;
Experience or exposure to planning and/or on-site coordination of events;
Good rapport with a variety of people, professional phone manners, and the ability to ask for payments in person and on the phone;
The ability to “multitask,” handle deadlines and determine priorities;
Proficient computer skills including creating and maintaining a spreadsheet or database and using MS Office (or equivilent) applications, Quickbooks, Acrobat, email and the web;;
A motivated self-starter with flexible schedule and ability to work independently and as part of a team.
Hours and Compensation:
Hours: Part time (approximately 375 hours total) with hours increasing as festival approaches, work at home, provide your own computer, software and phone. Occasional evening meetings with festival planning committee (approximately 6).
Term: June 2008
Mid-October 2008 (Festival Date: Sept 27-28, 2008)
Compensation: $6000
