Position Announcement:
Executive Assistant, Roots of Change
Roots of Change (ROC) develops and provides resources to a network of leaders and institutions in California who agree to collaborate in pursuit of a sustainable food system by the year 2030. This network involves food producers, businesses, nonprofits, communities, government agencies, and foundations that share strategies, objectives, and a commitment to changing mental models, markets, and policies that shape the food system.
Description of Position
The Executive Assistant supports the work of the ROC Coordinating Team (staff), Stewardship Council (board) and other members of the ROC community by providing excellence in administration and organization of the ROC office. The Executive Assistant assists the President with formatting and distributing communications, scheduling and coordinating travel plans, managing event logistics and administering grants processes. A successful applicant is an excellent communicator and team player who can manage and prioritize all tasks associated with the daily operations of the many parts of ROC. Additionally, the Executive Assistant supports the Director of Network Relations and the Director of Development as needed. This position reports to the President.
Key Responsibilities
1. Manage President’s schedule and calendar.
2. Manage organization’s master calendar.
3. Support President’s correspondence and communications.
4. Assist in planning and implementing logistics of Coordinating Team and other meetings of ROC collaborators, including its Stewardship Council.
5. Work with financial staff to ensure reporting to President is timely.
6. Provide copy edit support and document production for major organizational publications: annual report, Stewardship Council meeting materials, etc.
7. Maintain order of files and information systems of the organization.
8. Assist President to manage project workflow.
9. Participate in meetings of the ROC Coordinating Team, Leadership Network, and Stewardship Council.
10. Provide support, as needed, to the Director of Network Relations and the Director of Development.
Skills & Qualifications
o Excellent organizational skills; strong attention to detail; ability to stay focused in busy work environment
o Excellent written and oral communication skills
o Bachelor’s Degree required; experience in sustainable agriculture/food systems and/or environmental work a plus
o At least three years of professional experience as the assistant to a senior executive of an organization
o Experience in organizing and planning events
o Adept with Mac platform and with Word, Excel, PowerPoint and Outlook; knowledge of Salesforce a plus
o Successful ability to coordinate and prioritize multiple assignments
o Ability to work with a diverse team
o Comfortable working in a fast-paced environment with focused and energetic colleagues
o Ability to take initiative and solve problems, and to work collaboratively with other staff members
o Ability to travel within California 4-5 times a year; ability to occasionally work evenings and weekends as required by the President
