Expected Duration of Assignment : 6 Months

Background:

Under the supervision of the Programme Management Specialist and in close cooperation with the Procurement and Operations Associate, the incumbent will provide support and guidance in the area of procurement and travel to HQ and the Sub Regional Offices.

Duties and Responsibilities:

  • Review vendor information and create new vendors in UNIFEM's ERP system called ATLAS as required
  • Review agreements and institutional contracts in relation to procurement and other agreements, raise Purchase Orders (POs) in Atlas for all projects managed by headquarters (HQ)
  • Review Special Service Agreements (SSA) and enter PO Contracts in ATLAS for further payments processing
  • Review PO payment requests for projects managed by HQ, then process receipt in Atlas
  • Before submitting to the hierarchy for approval, review all PO requests from UNIFEM Sub-Regional and Project Country Offices for those POs where amount is greater than a predefined level.
  • Receive and review POs for payments requested by Regional Program Directors including travel costs and ensure required documents are provided before approval
  • Receive and review travel requests and other requested forms (F-10) for further processing.
  • Provide advice and information related to procurements
  • Maintain files of POs and Travel authorizations and expenses
  • Provide assistance in problem-solving relating to procurement process with Atlas
  • Propose guideline adjustments if necessary performs any other tasks and duties the institution may reasonably request in relation to its mandate

Required Skills and Experience:

  • Education: High school degree, preferably supplemented by technical courses in the field related to management, finance or/and procurement.
  • Experience: Minimum five years of working experience including three years relevant experience in the area of finance and/or procurement.
  • Tech. Skills: Full proficiency in office automation; excellent computer skills including sound knowledge of Internet and of Windows, Word, Excel and PowerPoint applications. Knowledge of UNDP/UNIFEM financial management system, e.g. Atlas is an asset.
  • Language: Fluency in written and spoken English, knowledge of a second UN working language is an asset.
