Job Level: Specialist
Function:
The Foundation Relations Production Coordinator provides comprehensive support to Heifer International Development staff in producing, submitting, tracking and monitoring funding proposals, awards and reports. The production coordinator maintains knowledge of Heifer’s project-, budget- and proposal-development processes, acting liaison between Development and program divisions to facilitate successful funder relationships.
Responsibilities:
1.
Works closely with Foundation Relations officers, Development staff, program staff and other personnel to coordinate all aspects of proposal development.
2.
Acts as liaison between programs and Development to successfully integrate Heifer’s project-, budget- and proposal-development processes for successful funder relationships.
3.
Develops and maintains project development, proposal development and reporting process-flow sheets with contacts identified
4.
Participates on all Major Fundraising Management committee strategy teams to provide written materials for fundraisers, facilitate communication with programs, keep records current and integrate with program processes.
5.
Maintains access to full/donor budgets and major project summary sheets for Development.
6.
Develops and maintains a proposal-tracking and information systems that include all necessary milestones to ensure timely submission of competitive proposals and required reporting.
7.
Monitors proposal progress and keeps all involved parties informed of status through regular, ongoing reports.
8.
Maintains stock of standard documents and narrative used in proposals and reports.
9.
Processes all necessary assurances, certifications, approvals or other similar proposal requirements in a timely fashion for proposal submission. This includes all required approvals and signatures by Heifer International management.
10.
Develops and maintains comprehensive, accessible electronic and paper files of all active and completed proposals and awards. Confirms and documents submission of the proposal.
11.
Develops, communicates and coordinates the requirements, timelines and responsibilities for awards.
12.
Develops and maintains tracking system to ensure that all reports are submitted on time after a grant is awarded. Works with officers to edit narrative reports.
13.
Work with programs database coordinator/s to generate accurate report information and statistics on projects; keeps all involved parties informed of status through regular, ongoing updates.
14.
Provides back-up service to Foundation Relations Administrative Assistant in office management and communication responsibilities.
15.
Performs other job-related responsibilities as assigned.
Minimum Requirements:
Bachelor's degree in business administration or related field, plus two (2) years’ job related experience.
Preferred Requirements:
Three (3) to five (5) years’ related experience requiring coordination of groups or projects.
Most Critical Proficiencies:
*
Experience in Microsoft Project required. Experience or knowledge of other project management tools may be applicable.
*
Good computer skills with the ability to produce accurate documents in a well-designed and attractive format. Expertise in Microsoft Word required.
*
Spreadsheet (Microsoft Excel), database (Microsoft Access) and electronic mail (Microsoft Outlook) expertise preferred.
*
Knowledge of proper filing techniques and office functions.
*
Awareness of the content in which non-profit organizations operate.

Excellent interpersonal skills with the ability to work cooperatively with a culturally diverse group of people.
