Sounds extremely interesting. We'd love to help out in anyway possible. We are already expecting all the candidates to be at our Presidential Youth Discourse on November 11th; perhaps you'd like an opportunity to submit questions on behalf of Step It Up to ask to any or all of the candidates? We will be extremely busy in November with this hallmark unprecedented event, but let me know if you have specific areas you need our assistance in, and we'll help out in capacity we can! The location will obviously be dictated somewhat by the format. Is this the combined event going to be a panel discussion as Mike's event was going to be, or is it going to be more of a rally headlined by major political figures on the topic of climate change/energy? The latter sounds more exciting with potential for larger turnout, the former perhaps more substantive.

Mike, what do you think? I'd be curious to get his input my inclination at the moment is the events will be combined and held at the Iowa Memorial Union, but if this gains traction we may be looking at a fairly large turnout in that case the rally format with the old capitol in the background of the candidates, good symbology of leadership (rally participants would be on the western lawn of the old capitol in this case) robert, do you have the connections to make this happen at the IMU? |

The process for booking a room is virtually the same as the pentacrest. The determination would need to be made which building, how large a venue, etc. But, yes, booking a room would be no problem.

do we need to get the reservation in before anyone else? would it make sense to reserve both and cancel one if need be? |

I would think the process is a same. There are a couple details I would want to check on. 1) Whether a ballroom is available; 2) There might be a fee associated with that (equipment set-up, etc.).

agreed, we should approach Step It Up national about funds they have for fees incurred, I'll check into that with jason

robert, looks like an IMU ballroom is a good spot, I spoke with Mike and he had a similar thought
in regards to funds from Step It Up, looks like there aren't really any, but Jason did mention some possibility from one org, but I wouldn't count on it |

The ballrooms were booked. Mandy (from IRENEW) and I got the necessary signatures for a lecture hall in Philihips Hall. Mandy will turn the paperwork in on Monday for the final approval process. The room is equipped with a stationary mic and a wireless mike which we have the key for. So the setup will require our guests to speak one-at-a-time. I understand from MIke that it was not the intention to do a panel discussion. There will be a custodial charge for cleaning up afterwards that is currently being billed to UIEC. We would like to discuss paying for this jointly (we don't have a lot of money and it's looking like a $200 bill.)

Philips Hall will serve as the back up venue and is available until 6pm (the closing time) |

I met today with Event Services. They are okay with the event on the Pentacrest and are also fine with us utilizing the time and place in our advertisements now even as we finalize the event details.
They have certain issues and requirements as far as the lawn irrigation system and safety and security (if presidential candidates are present) so I will continue to work with them as we finalize the event. But good news!!! |

I've got estimates for equipment. I am planning on renting a lectern and PA system with microphones for amplifcation. If needed, we might do a couple tables and a tent (student groups, event table, tent for steel pan band)
An individual at the UIEC meeting has a truck and volunteered to pick up and transport equipment. |

Two related things:
You need to add to the Step It Up event page that the inclement weather venue is 100 Philips Hall. I Mention this because the 10-day forecase indicates a 30% chance for scattered showers. |

Logistics:
The UISG president is ready to help get permission to hold the event on UI grounds.
I believe the IMU would be the best venue. As it can handle more pedestrian and transit traffic than can the law school.
